A future cost needs a documented basis
The archive wheel-and-grille photograph is an equipment reference, not evidence of a service interval or a parts price. Ask for the applicable current maintenance instructions, consumables list and support scope for the actual configuration. Record costs only when their basis is clear.
| Planning line | Evidence to request |
|---|---|
| Consumables | Applicable item references and the source of any price. |
| Maintenance | The current instructions and the basis for timing. |
| Support | What is actually provided, by whom, and under what written terms. |
| Unresolved item | Keep an unknown visible until the appropriate answer arrives. |
Use the correct equipment information
Find the manual and service information for the actual model, configuration and revision. A document for a similar machine may not apply. This planner does not prescribe service intervals, fluid specifications or operating procedures.
Prepare an ownership question list
- What manuals and maintenance records accompany the offered unit?
- Which consumables and service parts need identifying before use?
- What trained operator, inspection and maintenance support will you arrange?
- What storage and access arrangements need planning?
- Which costs are recurring, occasional or still unknown?
Keep assumptions visible
Where you estimate usage, state the hours or period and how you obtained the estimate. Keep quoted costs distinct from your own projections. Do not represent a planning worksheet as a promise of output, income, savings or resale value.
Review the budget when facts change
A changed configuration, operating pattern or transport plan may change the questions. Date each revision and keep the original source beside any figure. Revisit unpriced items before relying on a total.
