Keep a payment instruction record

Organise the documents and questions around payment before making a commitment. Keep the original instruction and any later clarification together in your private records.

Practical worksheets · clear next questions

Use your own private records

Keep the quotation reference, invoice reference, agreed milestones and source of each instruction. Do not put account numbers, identity documents or banking screenshots into this website or an initial enquiry email.

Treat a changed instruction as a new question

If instructions differ between documents or change in a message, pause your comparison and resolve the discrepancy through a contact method you have independently established. This checklist does not supply that verification or confirm an account.

Record the commercial points to clarify

  • Which invoice and exact equipment reference does the instruction concern?
  • Which currency and amount are stated, and what is the validity period?
  • Which milestones or conditions are written in the agreed documents?
  • Who bears any separately stated charges, and where is that written?
  • Which questions remain unanswered before your own review can be completed?

Keep a dated trail

Retain original messages and documents without editing their substance. Add your notes separately. If you need legal, banking or transaction advice, consult the appropriate adviser; a completed worksheet is not approval to pay.

A clear question is a useful next step.

Share the relevant unit reference and the question you want to discuss.
