Use a source column before a total
Separate the purchase, movement, destination and later operating categories. One supplier may quote only part of that scope. A blank source cell is a follow-up task; it is not a zero charge.
- Record the currency exactly as supplied; do not silently combine currencies.
- Keep quote validity and assumptions beside the amount.
- Distinguish a confirmed inclusion from an estimate you made yourself.
Separate the stages
Ask for the exact named place or port, agreed term and quotation wording. Record who is responsible at each stage, and keep confirmed inclusions separate from your estimates.
A blank cost map
Use the table as a question list. It is not a statement of charges required in every transaction.
| Bucket | Questions to resolve |
|---|---|
| Equipment | Which unit, configuration, accessories and documents are included? |
| Origin handling | What preparation, local movement or loading is included? |
| Main transport | What route, transport mode and quote validity apply? |
| Destination | Which handling, clearance, tax or onward delivery items need separate advice? |
| Ownership | What consumables, service and support costs need planning? |
Give each amount a status
For each applicable item record amount, currency, date, source, responsible party and whether it is a firm written quote or your estimate. Mark tax or import questions for a qualified local adviser rather than assuming an online percentage applies.
Keep omissions in view
An unpriced row is not zero. Show it as “not priced” until answered. If you later calculate a subtotal, label exactly which rows are included and which are excluded so readers cannot mistake it for a complete landed cost.
